Find wording and replace it carefully
A repeated product name or outdated phrase is easier to correct with the document’s search panel. Find the exact occurrences, inspect their context, and decide whether to replace one or all. This walkthrough uses the canvas document toolbar, which is separate from the focus view’s page-library search.
Canvas → select document → Search and replaceWhat you’ll learn
- Open search for the intended document.
- Inspect matches before applying a replacement.
- Verify both the old phrase and the new wording.

01
Select the document and open its panel
Return to the canvas if the document is in Focus mode. Select the document card so its toolbar appears, then choose Search and replace. If clicking the title or another surface hides the toolbar, select the card again. Confirm that the open panel has Find text and Replace with fields; Find a document in the focus header opens a different library search.
02
Search a distinctive phrase
Enter the old phrase in Find text and read the match counter. Search uses literal text and ignores letter case by default; the visible panel offers no regex, whole-word or case toggle. Choose a distinctive phrase rather than a short fragment that could appear inside unrelated words. No matches means you should check spelling and the selected document before changing anything.
03
Read the matches in context
Use Next and Previous to move through the matches and watch the current position in the counter. Read the surrounding sentence, including headings and table cells where the phrase may have a different meaning. A name in a historical quotation may need to stay unchanged even when the current recommendation changes. Decide which occurrences share the same intended replacement before filling the second field.
04
Replace one occurrence first
Type the new wording into Replace with. Navigate to a representative match and choose Replace, which applies to the current match. Read the updated sentence and inspect punctuation, spacing and letter case around the new text. Check the new match count to confirm what remains. This small first change lets you judge the wording before applying it to the rest of the document.
05
Finish the change and verify it
Choose Replace all only after confirming that every remaining match should change; otherwise continue replacing individually. Search again for the old phrase, then search for the new wording and inspect a few results. Closing the panel clears its search highlights. Finally read the document’s save indicator and reopen the relevant passage to verify the correction remains in the intended page.
Consistent wording in the intended document, with each replacement checked against its context.
